POSITION PURPOSE
Under the supervision of the Assistant Finance Director performs a wide variety of responsible administrative and accounting duties related to the coordination of City procurement, accounts payable, and accounting activities requiring a high level of detail and accuracy.
FUNCTIONS AND BASIC DUTIES
This role supports the City's Finance Department through a wide range of accounting and purchasing functions. Key duties include managing accounts payable, preparing financial reports, reviewing invoices and purchase orders, reconciling accounts, maintaining vendor and asset records, ensuring compliance with policies, and assisting with audits, budget preparation, and special projects. The position also oversees fixed assets, credit card use, employee expense processing, and regulatory reporting such as 1099s and sales tax filings.
NECESSARY SKILLS
•Ability to effectively and efficiently utilize current office equipment and software systems including MS Office, Accounting software, and 10-key calculator
•BS&A working knowledge preferred
•Familiarity with BidNet online bidding platform
•Ability to perform work accurately and thoroughly
•Communicate effectively with others both verbally and in writing
•Adhere to confidentiality requirements when handling proprietary and sensitive information
•Provide courteous and effective customer service to internal and external customers while following City policies and procedures; establish and maintain good working relationships with co-workers
•Organize work and follow a systematic method of performing tasks; perform the physical requirements of the job
EDUCATION AND EXPERIENCE REQUIREMENTS
•Bachelor's Degree in Finance, Accounting, Business Administration or related field
•Knowledge of accounts payable, purchasing, and general accounting principles and practices
•At least 3-4 years of experience performing responsible administrative/accounting duties in a municipal or similar environment
PHYSICAL AND ENVIRONMENTAL REQUIREMENTS
•Must be able to lift 25lbs
•Must be able to sit and stand for long periods of time
•Must be able to open/close heavy filing drawers, and lift/move heavy files
•Must be able to work in office, Monday - Friday 8:00 am to 5:00 pm
